Introduction to the
Technology Handbook
Welcome to the Technology Handbook. The Technology Handbook has been developed to guide
you through all the educational, technical, business, and management areas of the
Technology Department. This year the Handbook will be published on the Andover Public Schools Web
Page at www.aps1.net. We hope this will make it more accessible. It will also be updated as needed.
Feel free to call the Technology Department at 8550 with subjects that were inadvertently not covered in the handbook. Every attempt will be made to update the handbook on a yearly
basis. The Technology Department handles all educational software, all audiovisual equipment
and all educational computers. In addition, the department coordinates all educational
technology training, all technical assistance and all repairs. This is an awesome task requiring a dedicated,
well-trained staff and the implementation of several protocols.
We will make every effort to serve the students and staff of the Andover Public Schools
with the utmost care.

Technology Summary
The Andover Public School System has implemented a far-ranging
technology plan. The 1996-2001 technology plan and funding enabled the Andover Public
Schools to implement a high-capacity network throughout the school system. All classrooms have computer
network drops certified to 100mbs per second with workmanship guaranteed for twenty-five
years. In addition, all schools' data and video capabilities are connected together
through the town's cable television institutional loop. Classrooms, office spaces and
conference areas are connected to the LAN (school) and WAN (district) network systems and
have access to the Internet. Internet services are provided free of charge to the Andover
Public Schools by AT&T Broadband through March 2002.
Every classroom in the Andover Public School System has at least one
computer and printer connected to the network and to the Internet. Andover is in the midst
of a decade -long program of transitioning from the Macintosh operating system to a total
Windows environment. Administrative offices have moved from the Macintosh to Windows NT,
and Intel computers have been upgraded. In addition, we have retired our 15-year-old
VAX-based Pentamation student management software and replaced it with a modern Microsoft
Window NT Nordex student management system. Microsoft Office has replaced ClarisWorks as
the primary administrative productivity application software. The Business Office has
implemented a new financial management software package called Munis. This software will
help streamline financial services, simplify payroll tasks, and provide online
school-based fiscal management tasks not available on the old system.
The Andover Public School System implemented a comprehensive teacher
training model (Inservice Committee) that provided its teachers with thousands of hours of
training opportunities on a wide range of technology-related subjects with an emphasis on
integrating technology into the curriculum. Teachers, administrators, and support staff
continue to be trained on the new operating systems, application software, and integration
strategies and techniques.
The technology curriculum has been revised and a logical, sequential
series of benchmarks have been implemented. TechWorks technology resource materials
have been purchased for every K-5 classroom. All teachers have had the opportunity to be
trained on the use and application of the TechWorks materials. These materials
provide the classroom teacher with valuable lesson plans, templates, activities and
teaching strategies that are grade specific for the integration of technology into the
curriculum. The middle school curriculum addresses specific skills in word processing,
database creation and management, spreadsheet development and presentation software. The
Andover High School curriculum has also been upgraded to include C++, MS Office, and
FrontPage 98, among others. Virtually every department at the high school has integrated
technology into its curriculum in varying degrees.
Educational technology is comprised of more than computers. The Town of
Andover Cable Television Committee, in conjunction with the Andover Public Schools
Technology Director, negotiated with then Media One, now AT & T Broadband, a new
ten-year franchise agreement that constructed a new hybrid fiber coax CATV institutional
loop. This "I-Loop" provides the Town of Andover and the Andover Public Schools
with 4 data channels for computers, 28 sending TV channels and 48 receiving TV channels.
The Andover Public School System has also implemented an impressive
video system, as part of its comprehensive technology plan. All regular education
classrooms are equipped with a television, VCR, and an A/V cabinet. The CATV system
enables the technology department to feed into each classroom thirteen educational
channels, a training channel, a channel dedicated to our satellite dish, our own education
channel, and each schools own television channel. In addition, Andover High School
has been equipped with its own modern television studio.
Technology has changed dramatically both in capabilities and affordability over the
last few years. Technology's become more than a household appliance, it has become
essential to everyday life. Children of today do not know a world without DVD, CD-ROM,
digital cameras, laptop computers, and personal digital assistants, etc. They assimilate
technology with astounding ease. Technology has enabled all age groups to both simplify
and enrich their lives. It allows us to communicate instantly with anyone, anywhere at any
time. It manages incomprehensible amounts of data that weaves its way into the fabric of
our lives.

Things you might want to know about:
APS Network
The APS Computer Network runs between the school
buildings through the I Loop (like all the television channels coming into your classroom
cable TV).
The "headend" is located at the Central Office.
There are two domains in the APS Network:
APSS for Andover Public School Students and Staff and,
APSA for Andover Public Schools Administration.
Your password is unique. Share it with no one. You are responsible for any
transactions employing your password. Guard it well! Guard it as you would your bank pin
number. Under no circumstances give or reveal your password to anyone.
CyberPatrol is an Internet filtering tool and is in place to block out objectionable WEB
sites. Contact Ray Tode or Jean Frash at x8550 with any site that might slip through which
seems offensive.
Basically, the APS Network is capable of allowing you access to:

Unwanted and/or Out
of Date Audio Visual and Computer Equipment
All computer and AV equipment (including record players, television sets, VCRs,
cassette players, overheads, etc..) must go through the following steps before becoming
declared unusable by the Andover Public Schools:
- A standard service call must be made to x8550 stating the problem. Use the procedure
described under Technology Repair Service, as described in this handbook.
- The call will be placed in a queue for the technician in that building.
- The technician will determine whether or not the equipment is repairable.
- If the equipment is repairable and the school wants it restored to service, the normal
repair process will continue.
- If the equipment is broken beyond repair, unwanted or out of date, the technician will
then make provisions to have the equipment returned to the central office where it will be
deleted from the inventory of building from which it was removed.
Technology
Repair Service
All broken or malfunctioning equipment must
be logged using a standard and consistent policy. If it is determined that the
problem with your computer hardware or audio visual equipment has advanced beyond a quick
trouble shooting session with your school Technology Teacher, it is important to follow
specific steps to make repairs as quick and painless as possible.
1. Using a copy of the
Repair Service Form, identify the equipment. Include
all required information
and a detailed description of the problem. Example: "A
floppy disk is stuck in the drive of a
Macintosh computer in room 1025. Attempts to eject the disk
have failed. The ICN number of the
computer is 6025."
2.
Call in the problem to x8550 and give all the information that you have written on
the Maintenance Repair Service Form. Write the log number
given to you on the
Repair Service
Form which will help identify where the broken equipment is on the
repair queue. Attach the
Repair Service Form to the malfunctioning equipment to
make it easier for
the technician to find the broken component.
Repairs
will be made in the order they are received.
Do not
hesitate to call if a problem does not seem to be resolved or if you need an update.

TERMS
TCP/IP(Transmission Control Protocol/Internet Protocol)-a
protocol governing communication among computers.
Node-a computer on a network.
Network Adapter Card-electronic circuit card in the computer to plug in the cable
and configure special network software.
Server-the network computer that contains the disk drives, printers & other
resources that are shared.
Client/workstation-any classroom or lab computer.
Windows NT-the operating system used by APS (the NT stands for New Technology).
NIC(Network Interface Card)-a special electronic circuit card in
all networked computers.
Network Cable
1. Twisted pair-This is what the APS network uses. Looks like an oversized telephone line.
(Can be used as a telephone line but a telephone line can not be used as a network cable.)
2. Coaxial-Looks like the cable on your cable TV (but its not).
Hubs-Hubs are used to connect computers and printers to the network. Hubs are
usually located in a distribution room.
Login/Logon-(means the same thing) term used to get on the network after turning a
computer on. Usually a two step process involving user ID and password.
User ID or User Name-Your domain and username (ex:apss/jleno). This may change..watch
your mailbox for more info!
Password-special group of numbers/letters/symbols assigned to you by the Network
Administrator. This is one of the few things in your life that you do NOT share!
Local Drives-the drives that are physically in the computer (ex:Master (c) drive)
Network Drives-the drives that reside on the network but not the drive on your
local computer.
Port-a connection on the back of your computer
Spooling(Simultaneous Peripheral Output On-Line)
-A process used by your computer during printing. Print jobs are "spooled" (sent
to another disk file) and then sent to printer. Allows you keep working while printing
process is completed.
Queue(pronounced cue)-A line-up (queue) of print jobs.
Staff Directory
Andover Public Schools
The staff directory of the Andover Public Schools is updated every year. It
includes the name, address and telephone number of all staff members.
In the fall of every new school year, the secretaries in each building revise the
previous years list and send the current data to MaryAnn Limpert or Mary Sheehan in
the Technology Department at the Central Office.
The directory is usually distributed in the late fall. Questions that can not be
answered by your school secretary should be brought to the attention of MaryAnn Limpert at
x8550.
Cable Television
Comcast Broadband
The local provider of cablevision in Andover is
Comcast Broadband. Three years ago, a ten-year contract was signed between MediaOne
and the town. That contract was carried over to A T & T Broadband. Some services
and equipment related to televising educational events have been provided to the school
system as part of that contract.
Channel 10 is the local residential educational channel. This channel is used as
apipeline between the schools and the town. Information is added daily to the
BulletinBoard offering citizens facts on educational events such as dates and times of
school open houses, etc. We encourage schools to use this service to promote the
activities in their buildings. (See Channel 10 Form.) There are several channels
used by the Technology Department on the institutional network to send all buildings
educational programming, bulletin board and training.
(See Television Channels.) All schools have been assigned their own channel
(see Television Channels) for use in and between school buildings. Every classroom has an
institutional cable television drop.

The Andover School District has purchased a site license for AppleWorks. The site
license allows for the use of AppleWorks on all computers within the Andover Public
Schools and on computers of students who attend Andover Public Schools.

Inventory-
Computer and AV Equipment
Yearly May 1 to June 1
An inventory of all equipment in the Technology Department in all Andover
Public
School buildings must be taken on a yearly basis. Andover taxpayers have generously
provided millions of dollars for computers, infrastructures, audio visual equipment and
software that enhances the educational process. It is our responsibility to maintain
the
equipment and to be accountable for its whereabouts.
Packets are developed in the Technology Department in the Central Office and
distributed to the principals in each building every spring. The packets include all
the materials needed for taking the inventory, including directions. The building
principal makes the determination on the mechanics of taking the inventory. By mid
June , after the inventory is completed, the forms must be
returned to
the Technology Office for reconciliation. When all efforts have been exhausted to find
lost or misplaced equipment, a final report is drafted and presented to the school
principal and the superintendent.
All questions regarding inventory worksheets and instructions should be addressed to
Barbara Worcester at x8550. All questions regarding procedures and results should be
directed to Ray Tode x 8550 and/or your building principal.

To All Faculty,
Welcome to the Andover Public Schools computer network.
Approximately 6900 students and employees received network user accounts and
over 2200 networked computers were available. As
an authorized user, you will be able to sign on to the computer network,
save your computer work to a personal network folder, search through the
online library catalog system, search the Internet, and send/receive e-mail.
NOTE: There are no plans to provide e-mail services to the students.
Attached to this letter are the following documents:

Acceptable Use Policy - Technology
Administrative Regulations and Procedures for Implementation
- Commercial use of the system/network is prohibited.
- The district will provide opportunities for training to users in the proper use of the
system/network.
- The district will provide each user with copies of the Acceptable Use Policy and
Regulations and Procedures.
- Copyrighted software or data shall not be placed on the district system/network without
permission from the holder of the copyright and the Andover Public Schools Technology
Director or his/her designee.
- Access will be granted to permanent employees with a signed access agreement.
- Access will be granted to Andover students with a signed access agreement.
- Access will be granted to volunteers, substitutes, contractors, and student teachers
with a signed employee Acceptable Use Policy access agreement and with the principal's
signature. (See AUP Form)
- Passwords are confidential. All passwords shall be protected by the user and not shared
or displayed. All actions taken under user name and password are the responsibility of
said user.
- Anyone giving his/her password to another person and the recipient of that password are
subject to disciplinary action.
- Anyone using another
person's user account is subject to disciplinary action.
- Students completing required course work will have first priority for after hour use of
the equipment.
- Principals or their designee will be responsible for disseminating and enforcing
policies and enforcing procedures in the building(s) under their control.
- Principals or their designee will ensure that all users complete and sign an agreement
to abide by the policies, regulations and procedures regarding use of the
system/network
- Principals or their designee will ensure that training is provided to users on
appropriate use of electronic resources.
- Andover Public Schools District Technology Director or his/her designee shall be
responsible for establishing disk usage limitations, as needed.
- Individual users shall, at all times, be responsible for the proper use of accounts
issued in their name.
- The system/network may not be used for illegal purposes, in support of illegal
activities, or for any activity prohibited by district policy.
- Users shall purge electronic information as directed by the Technology Director.
- Users may redistribute copyrighted materials only with the written permission of the
copyright holder or designee. Such permission must be specified in the document or in
accordance with applicable copyright laws, district policy and administrative procedures.
- Only the Network Administrator(s) or person(s) with permission from the Technology
Director may upload/download public domain programs to the system/network.
- Any malicious attempt to harm or destroy equipment, materials, data or programs is
prohibited.
- Deliberate attempts to degrade or disrupt system performance may be viewed as violations
of district policy and/or as criminal activity under applicable state and federal laws.
This includes, but is not limited to, the uploading or creation of computer viruses.
- Vandalism will result in the cancellation of system privileges and will require
restitution for costs associated with hardware, software and system restoration.
- Forgery or attempted forgery is prohibited.
- Attempts to read, delete, copy or modify the electronic mail of other users or to
interfere with the ability of other users or send/receive electronic mail is prohibited.
- Use of appropriate language is required; swearing, vulgarity, ethnic or racial slurs,
and other inflammatory language is prohibited.
- Pretending to be someone else when sending/receiving messages is prohibited.
- Transmitting/viewing obscene or illegal substance material is prohibited
- Revealing personal information (such as full names, addresses, phone numbers,
etc.) is prohibited.
- The district will cooperate fully with local, state or federal officials in any
investigation concerning or relating to misuse of the district's system/network.
- A user who violates district policy or administrative procedures will be subject to
suspension or termination of system/network privileges and will be subject to appropriate
disciplinary action and/or prosecution.
